The first article chosen to summarize for this assignment is “Preparing for an Effective Meeting” by Jimmie Sheffield. Mr. Sheffield is retired associate executive director but servers on Arkansas Baptist State Convention part-time.
The first point discussed is meetings must have a purpose. He suggests asking the question “Why have this meeting?” If the purpose is not clear, the meeting may not be necessary. Second, he has a firm conviction there should always be a printed agenda. The agenda should be written in terms of results not activities. This will help you to know when you have solved the problem or arrived at the appropriate decision. The example given is “determine the kind of after church fellowship and who will be responsible for planning the September 1 event.”
Make any necessary advance assignments is the third point. To avoid embarrassment for attendees, make sure anyone who will present is notified so they can be prepared. Also, have minutes of the previous meeting or any materials that must be review prepared and distributed before the meeting if necessary.
The last suggestion Sheffield makes is plan for physical arrangements. This should include an appropriate size room, tables, projector, video payer, and marker board.
The last statement of the article is, “not making preparations will almost always guarantee that you will have an ineffective meeting.”
